Imagination Grove Academy (“IGA,” “we,” “us,” or “our”) is operated by [Legal entity name — pending legal review]. This Privacy Policy explains how we collect, use, and share information when you visit this website (the “Site”) or contact us through it.
We wrote this to be readable. If anything here is unclear, email us at team@imaginationgroveacademy.com and we will explain it in plain terms.
2. What this policy covers — and what it does not
This policy covers information collected through the Site.
It does not cover:
- Enrollment and childcare records. Once your child is enrolled, information about your family and your child — enrollment forms, attendance, daily reports, photos, billing — is handled through our childcare management platform (Brightwheel) and is governed by your enrollment agreement with us and by Brightwheel’s own privacy terms, not by this policy.
- Information you give us in person or by phone. Visiting a campus or calling us is not covered here, though we handle that information with the same care.
- Third-party websites. If you follow a link from the Site to another service, that service’s privacy policy applies.
3. Information you give us
The Site has one form: a tour request. When you submit it, we collect:
- Your name
- Your email address
- Your phone number
- Your child’s first name and date of birth
- Your preferred tour date
- Anything else you choose to type into the message field
We ask for your child’s date of birth for one reason: to know which classroom and age group your tour should cover. We ask for as little as we can to schedule a useful visit.
If you contact us by email — including the campus addresses listed on our location pages — we receive whatever you include in that message.
Waitlist forms for campuses that have not opened are hosted by Brightwheel, not by us. When you follow a “Join the Waitlist” link, you leave our Site and submit information directly to Brightwheel. That submission is governed by Brightwheel’s privacy terms; we receive the resulting record.
4. Information collected automatically
When you visit the Site, our hosting provider automatically records standard technical information, including your IP address, browser type, device type, the pages you viewed, and the date and time of your visit. This is ordinary server logging, used to keep the Site working and secure.
5. How we use information
We use the information described above to:
- Respond to your tour request and schedule your visit
- Follow up about enrollment if you have asked us to
- Answer questions you send us
- Operate, secure, maintain and improve the Site
- Understand which pages and referral sources bring families to us, so we can spend our marketing budget sensibly
- Comply with law, and enforce our Terms of Service
We do not sell your personal information. We do not share it with third parties for their own independent marketing.
6. Cookies, analytics and advertising
The Site uses cookies and similar technologies. Some are necessary to make the Site function. Others help us measure how the Site performs and how well our advertising works.
We use or plan to use:
- Google Analytics 4 and Google Tag Manager — to measure Site traffic and understand which pages families use.
- Google Ads, Meta (Facebook and Instagram) advertising tools, and Microsoft Advertising — to measure whether our ads bring families to the Site, and to show relevant ads to people who have visited it.
- Google Maps — our location pages embed a map. The map loads only if you scroll to it, and when it loads, Google receives your IP address and may set cookies. This is Google’s processing, under Google’s terms.
- Netlify — our hosting provider, which processes server logs and tour-form submissions on our behalf.
You can control cookies through your browser settings, and you can opt out of Google Analytics using Google’s browser add-on.
7. Who we share information with
We share information only with:
- Service providers who work on our behalf — currently our website host (Netlify), our email provider (Microsoft 365), our childcare management platform (Brightwheel), and the analytics and advertising providers listed above. They may use the information only to provide services to us.
- Professional advisors — such as accountants or lawyers, where necessary.
- Authorities — when we are legally required to, or where necessary to protect the safety of a child, our staff, or the public.
- A successor — if IGA is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction.
8. Children’s privacy
The Site is intended for parents and guardians, not for children. Nothing on the Site is designed for children to use, and we do not knowingly collect information directly from children.
Where the Site collects information about a child — a first name and date of birth on the tour-request form — that information is provided by a parent or guardian, about their own child, for the purpose of scheduling a tour.
If you believe a child has submitted information to us directly, email team@imaginationgroveacademy.com and we will delete it.
9. How long we keep information
- Tour requests that lead to enrollment: retained as part of your family’s record, under our enrollment agreement.
- Tour requests that do not lead to enrollment: retained for [Retention period — pending legal review], then deleted.
- Email correspondence: retained for [Retention period — pending legal review].
- Server logs: retained per our host’s standard retention period.
We keep information longer where law requires it — for example, records we are required to retain under state childcare licensing rules.
10. Your choices and rights
You may, at any time:
- Ask what we hold about you, and ask for a copy
- Ask us to correct anything inaccurate
- Ask us to delete your information, subject to records we are legally required to keep
- Ask us to stop contacting you. Every marketing email includes an unsubscribe link, and you can reply “stop” to any message or email us directly.

We will not treat you differently for exercising any of these rights.
11. Security
We use reasonable safeguards to protect information, including encrypted connections (HTTPS) across the Site, access controls on our email and childcare platforms, and vendors selected for their security practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Changes to this policy
We may update this policy. When we do, we will change the “Last updated” date above, and for significant changes we will post a notice on the Site.
